Limited access to Scantron for deferred exams through CCS
Computing and Communications Services (CCS) will operate the Scantron scanner and Test Scoring Application for processing Scantron sheets for deferred exams that were originally offered using the Scantron system only. This service is available on a limited basis until February 28th, 2023. After that date, deferred exams originally administered using Scantron, will have to switch over to the Gradescope bubble sheet system as outlined below.
Scantron sheets from deferred exams can be dropped off at the CCS Helpdesk in Johnston Hall, room 032 during the same hours of operation listed for Gradescope scanning.
Using Gradescope bubble sheets for deferred exams originally delivered through Scantron
Instructors who would prefer to use Gradescope bubble sheets for deferred exams that were originally administered through Scantron may do so by following the steps below:
- Download and print Gradescope bubble sheets to provide to the students taking the deferred exam.
Note: Gradescope bubble sheets can be printed by anyone (instructor, exam centre, etc.). If you are administering 100 questions or less, you only need to print page one. If you have over 100 multiple choice questions, please print both pages (double-sided). - Scan the completed bubble sheet(s).
Note: Since there will likely only be a small number of bubble sheets involved, you may elect to scan the completed sheets yourself on your department’s scanner if you do not want to take them to the CCS Help Desk in Johnston Hall for scanning. - Access the CourseLink course site in which any students with a deferred exam condition were registered when the original exam took place.
Note: Any student(s) taking the exam must be present on the course site’s Classlist with either the Student or Deferred-student role. - Create an integrated Gradescope bubble sheet assignment. A video explaining the integration process is also available.
Note: You may sync the entire CourseLink Classlist with Gradescope. The bubble sheet upload and assessment will only impact students with completed bubble sheets. The grade item created by Gradescope should also be set with a weight of zero in this scenario. - Follow the steps outlined on the Gradescope Bubble Sheets support page to:
- Indicate which answers are correct for each question on the Answer Key page.
- Upload the scanned bubble sheet(s) on the Manage Scans page.
Note: This process can be repeated at different times with multiple files if necessary. For example, if two students have deferred exams on different dates and you want to upload and grade them immediately. - Match the bubble sheet(s) to the students on the Manage Submissions page.
Note: This typically happens automatically, though in some cases you may need to perform a manual match. - Confirm any uncertain marks, where necessary, on the Grade Submissions page.
- View the scores received by students on the Review Grades page.
Note: If required, the grades displayed can be manually entered for the student(s) into an existing grade item in CourseLink that was used for the Scantron exam, provided the out of score values were equal. Using the Post Grades to CourseLink button will only copy the score the grade item created by the Gradescope integration and will not properly adjust the score of an exam grade category or final calculated grade.
